About the Guest and Seating Estimator

This estimator converts your guest count into practical seating numbers: how many tables you need, how guests can be distributed across them, and roughly how much floor space the layout requires. It helps you judge whether a venue can genuinely hold your celebration before you pay a deposit or sign a contract.

How to Use It in Three Steps

Assumptions Behind the Numbers

Calculations use common industry standards: round tables seating eight to ten guests, and roughly ten square feet of space per seated guest once aisles and service paths are included. The tool assumes a standard room shape without unusual pillars, stages, or dead corners, so treat the space figure as a minimum rather than a guarantee, and always walk the actual room before confirming.

Practical Tip

Plan tables for about five percent more guests than your confirmed count. A few unexpected plus ones appear at nearly every event, and one spare table is far easier to remove on the day than to add at the last minute.
